WHEN SHOULD YOU HIRE A WEDDING PLANNER & WHEN CAN YOU HIRE ONE?

Unfortunately, it’s one of those things, where if you aren’t in the industry and not really familiar with wedding planning, that booking a wedding planner with a variety of different services available, can somewhat seem very daunting.

In this blog, I’ve answered – When should you hire a wedding planner and when can you hire one?

 

So, you’ve come to the decision that you definitely want to hire a wedding planner, you know the basic costs, you know the different services, now you need to know when you should start looking to hire a wedding planner, when should you and when you actually can! Because of the services, that wedding planners offer, are for different stages of your wedding planning journey, it would only make sense that the time you would hire them would be in a similar time format. Let’s break it down!

Once you’ve found the perfect wedding planner for you then you should book straight away! You want them to start as soon as possible so the earlier you book the better.

Finding the perfect venue and your dream team that fits your style, personality and budget, will take time even with a trusted little pink book of dream wedding suppliers to hand, let alone putting it all together.

FULL PLANNING

A full-service planning, is planning the entire wedding from start to finish, designing the concept, scouting the dream team, tracking, budgeting, organising, executing, managing and putting it all away.

 

When should you start looking?

Instantly! And this isn’t as soon as you get engaged, but more as soon as you have decided that you need and want help from the beginning of your journey. You could already have a few things in mind, but you haven’t started planning anything yet or sourcing anything. Alternatively, you could’ve already started looking but you’re struggling, whether that be with time or even enthusiasm!

Don’t kid yourself, wedding planning isn’t for everyone and there’s really no shame in asking for help!

 

When should you book?

Once you’ve found the perfect wedding planner for you, then you should book straight away! You want them to start as soon as possible so the earlier you book the better. When can you book?

Pretty much anytime as long as the wedding planner has availability, however, most couples looking to book a wedding planner for the whole shebang will most likely be looking to get married in 8 – 24 months’ time. Most wedding planners will only take on a handful of full-service planning clients a year, to ensure that they are able to give you the time, focus and just the right amount of energy required to create the wedding of your dreams. Planning a wedding can take somewhere between 200-350 hours depending on the size of the wedding, the location and the budget! Taking on more weddings than necessary would be silly!

Don’t do what we always do and convince yourself that you don’t need help or waver on it for too long. The sooner you start looking for a planner that perfectly matches what you’re looking for and that has the personality to match, the sooner you’ll find them! And the sooner you find them, the sooner they can start ticking off that never-ending to-do list and you can start enjoying the finer things in all things wedding!

PARTIAL PLANNING

Partial planning is when a wedding planner takes on a partial part of the wedding planning, which is normally after a couple have already booked the venue and a few key suppliers and have decided on the design and style, but need help finalising everything and wrapping it all up neatly in a bow, in time for the big day!

 

When should you start looking?

Most couples who book this package, haven’t even considered a wedding planner until they reach a point when they need help, have hit that wall, can’t find the time, lose track of time, cannot find the remaining key suppliers, or just realise that planning is not really for them (as I mentioned before, it’s okay to feel this way, planning really isn’t for everyone!). As soon as you feel this way, start looking. Don’t do what we always do and convince yourself you don’t need help or waver on it for too long, the sooner you start looking for a planner that matches what you are looking for and that has the personality to match, the sooner you will find them and the sooner you find them, the sooner they can start ticking off that never-ending to-do list and you can start to relax and enjoy the finer things in life and in all things wedding related!

 

When should you book?

As soon as you have found the one! Don’t hesitate. You have gone to such great lengths to find someone that you trust, that gets you, who makes you feel comfortable and who you could probably have a good laugh with. Most planners will “hold” the date for you for up to 5 days after they have sent you their proposal, and after that, it is fair game, unfortunately. So do not hesitate!

 

When can you book?

Most planners will offer this service 4 – 8 months prior to your wedding date, however depending on the package they offer and what you need doing and of course availability, the timeframe can vary.

I recommend that every couple getting married should hire a wedding planner to run the day for them. It’s also very easy to get confused with what a wedding planner does and what a venue coordinator does and who will be responsible for certain things on the day.

There’s a huge misconception that you and your bridal party will actually have time to set everything up in the morning, becuase unfortunately you won’t! You’ll be too busy getting ready, having fun and having your photos taken!

WEDDING DAY MANAGEMENT

Wedding Day Management, when you need a planner to run the day for you; making sure that deliveries are organised and arrive when they should; that everyone is where they need to be and when; that everything is set-up perfectly and then managed on the day, directing and coordinating as required and answering all those questions that you shouldn’t be bothered with, on your special day.

 

When should you start looking?

I recommend that every couple getting married should hire a professional and experienced planner to run the day for them. It’s very easy to get confused with what a wedding planner does and what a venue coordinator (which I’ll be blogging about soon) and there’s a huge misconception that you and your bridal party will actually have time to set everything up in the morning. Once you’ve organised most things and you’re a few months out, you should definitely start looking.

 

When should you book?

As soon as you can! Then that’s a few more things you don’t have to worry about! Most planners will include creating a timeline for you, organising deliveries – drop-offs and pick-ups, as well as contacting all your suppliers to ensure that everyone has everything they need, leaving you to relax, and to finish off the few things you have left to do as well as (obviously) enjoy your big day!

 

When can you book?

Depending on the services the wedding planner offers will depend on when you can actually book them. Wedding planners who offer Full and Partial Planning may only book clients for On The Day Wedding Management up to 4 months prior, with others that offer more On The Day packages, may book up to 8 months prior.
